Let people book time with you

A booking page that shows your free times and adds a video call link to every booking.

Your booking page shows the times you're free, in each visitor's own time zone. When someone picks one, it goes into your calendar with its own video call link, and you both get an email with a calendar invitation.

  1. Open Calendar, Booking page and turn it On.
  2. Choose your address, for example /book/your-name, and your time zone.
  3. Set When you're available for each day. Add Days off and special hours for holidays or a shorter day.
  4. Add meeting types: a name, a length, where it happens (video call, phone, in person or something else), breaks before and after, how much notice you need, how far ahead people can book, and up to five questions.
  5. Copy the link and share it, or choose Email times to write an email with a few of your open times. Each time opens your page with it already picked, so people only add their name and email.

What visitors see

They pick a day and a time, give their name and email, and answer your questions. No account needed. Their confirmation has buttons to join the call, add it to their calendar, and reschedule or cancel from a private link. They can cancel until the meeting starts, even if you turn the page off.

Good to know

  • Only free times are shown. Anything in the calendars you choose under Calendars counts as busy, apart from events marked as free time and invitations you declined.
  • Two people can never book the same time: the second one is asked to pick another.
  • If you delete a booked event from your calendar, the booking is cancelled and the visitor is told. If you move it to another time, they get the new time, with their link to reschedule or cancel. Moving it to another calendar changes nothing for them.
  • The call link works until a week after the meeting ends, and follows the meeting when it moves.
  • Deleting a meeting type keeps the bookings already made: the visitor still sees the time and place, and can still cancel.
  • To stop the emails about each booking without turning the page off, switch off Email me about each booking, change and cancellation under Calendars.
  • Changes you haven't saved are kept if you go somewhere else in Viremail, until you save or discard them.
  • Past and cancelled bookings, under your upcoming ones, shows who cancelled and the reason they gave.
  • Most bookings in a day stops a busy day filling up.
  • To work while you're away, turning the page on creates a separate app password for your mailbox that can only read and write your calendar and send the confirmations. It's removed when you turn the page off. See App passwords.
  • Visitors' details are deleted 90 days after the meeting.
Anyone with the link can see when you're free (not what you're doing). Share it with the people you want to meet.
