Leads: follow up with people who book you

Keep track of everyone who books a time with you, with stages, follow-up dates and notes.

Leads is a simple list of the people who book a time on your booking page, plus anyone you add yourself. It's there so nobody who got in touch slips through.

Where leads come from

  • Your booking page: when someone books a time, they become a lead. The same person booking again stays one lead, however they type their email address, and each booking, move, cancellation and no-show goes on their history. To stop adding people who book, switch off Add people who book to Leads on the Page tab of Calendar, Booking page. Bookings made before Leads existed aren't added.
  • Messages from your booking page: when someone can't find a time and sends you a message instead, they become a lead too, with their message on their history. See When no time works.
  • By hand: choose Add a lead and enter an email address, and a name and phone number if you have them. If that address is already a lead, Viremail opens it instead of making a second one.

Work through your leads

  1. Select a lead to see their details and history.
  2. Pick a stage, for example New, Contacted, Won or Lost.
  3. Set a Follow up day. On that day the lead shows under Follow up, and the date turns red once it's due.
  4. Write a note. Notes are only for you and sit in the lead's history with everything else.
  5. Write under Reply by email and press Enter to send (Shift+Enter starts a new line). It's a normal email from your address, with the same Undo as any other, and it goes on their history once it's sent. Or choose Email to write a longer one in Mail.
  6. Choose Add to contacts to save them in your address book. If they're already in your contacts, the lead is linked to that contact instead.

Leads in Vire

Once you have a lead, Vire shows a Leads chip next to your folders. Open a lead there to see their history as a chat: their messages and bookings on the left, the emails you sent them on the right, and changes such as a new stage in the middle. Write in the box at the bottom to reply by email, just as above, or choose Open in Leads for everything else.

Use the stages in the side panel, Follow up, the source list (booking page, messages, added by hand) and the search box to find people quickly. On a phone, the stage chips above the list do the same.

Your stages

Open Leads settings (the gear) to rename, reorder, add or remove stages. You can have up to 10. Renaming a stage keeps its leads. The first stage is where new leads start, so it can be renamed but not removed. When you remove any other stage, its leads move back to the first one.

Export

Choose Export CSV to download your leads as a spreadsheet file, named like viremail-leads-2026-10-01.csv. With a filter or search on, only the leads you see are exported. To download one lead with its whole history, open it and choose the download button.

Deleting a lead removes it and its history for good. Their bookings stay in your calendar.
