Overtime, breaks and rounding rules
The presets for the UK, US federal, California and Australia, and why rounding is off.
Admins choose the rules in Rota, Settings, Pay and rules. Each preset is a starting point: check it against your contracts, awards and local law, then select Confirm these rules. The date you confirmed is kept.
| Preset | Overtime |
|---|---|
| US federal (FLSA) | Over 40 hours in your fixed workweek at 1.5. Exempt staff are left out |
| California | Over 8 hours a day at 1.5 and over 12 at 2; the 7th day in a row, the first 8 hours at 1.5 and beyond at 2; over 40 a week at 1.5, never counted twice |
| UK contract | No legal premium. Hours over the contract at a rate you choose, with a warning above a 48 hour average |
| Australia | Over 38 hours a week, the first 2 at 1.5 then 2, with weekend and public holiday rates shown apart. Check your modern award |
| Custom | Your own daily, weekly and day of the week rates |
Breaks
- UK: a warning when someone works over 6 hours without a 20 minute break (30 minutes over 4.5 hours for under 18s).
- California: a meal break must start before the end of the 5th hour, and a second before the 10th. A missed one adds an hour of premium pay to the timesheet.
- Australia: a warning after 5 hours without a 30 minute meal break.
You can also take off a shift's unpaid break when nobody clocked one. It always shows on the timesheet as its own line.
Rounding
Rounding is off unless you turn it on. In the US, rounding is only allowed when it evens out over time, and California courts are stricter, so no rounding is the safe choice.
