Workspaces, admin console, audit log and guestsNew

A workspace holds a company’s boards. Create one in Workspace. If we host mail for your company’s domain, you can claim it so colleagues with an address there can join without an invitation; nobody is added without choosing to. To show the domain is yours, add the TXT record the workspace page gives you at your DNS host, then choose Check now. Board owners move boards in from the board menu, under Workspace, and choose whether colleagues can find them.

Workspace admins can:

• invite people and make them admins, and group them in teams,
• see every board, and open a private one as an admin after giving a reason. The owner is told and it is logged,
• set policies: who creates boards, whether guests are allowed and from which domains, whether rules and reports may email outside people, and when archived tasks are deleted,
• offboard a leaver in one go: their open tasks go to someone else, their boards to a new owner, and they leave every workspace board,
• add office closures to the holiday list.

The audit log records role changes, invitations, guests, exports, deletions, admin access and policy changes, in plain words. Each entry is signed with a key only our server holds and chained to the one before, and the newest is sealed. Check the log shows if an entry was changed, taken out of the middle or cut from the end, or if the seal was removed. It can't tell if the log and its seal were both put back to an older copy: entries written after that copy would be gone without a mark. Export it as CSV or JSON now and then, so you have your own copy to compare against.

Guests

From a board’s menu choose Guests to invite someone outside, like a client, for 30 or 90 days. They open the board with a link and a one-time code sent to their address. They need no account or mailbox, see names but never email addresses, and only see that one board. Choose what they can do: view, comment, send requests (each becomes a task in the first column) or approve (they answer approvals you ask them for, and can comment). Remove a guest and their link stops working at once.
