Email a board
Give a board its own address: email becomes tasks, and you reply from the task.
Any board can have its own email address. Mail sent to it becomes a task with the sender, the text and the files. Replies thread into the same task, and you can answer the sender from the task without leaving Tasks.
- Open the board, choose the board menu, then Requests and email.
- Choose Turn on the board inbox (owners and admins). You get an address like boards+b7k2q9x4mz1a@ your domain.
- Choose who can use it: people on the board, anyone at domains you list, or anyone. Pick the column new tasks land in, who they are assigned to and their labels.
People outside the board get a short confirmation with a private link to follow their request. When you answer in the reply box under the task's email thread (Send reply), they get a normal email; their answer comes back into the same task.
- People on the board can add details in the subject:
#label,@name,!highanddue:friday. - Out-of-office replies, mailing lists, bounces and no-reply senders are ignored, so email never loops.
- Mail that does not pass your rules, or that our filter thinks is spam, waits under Held for review for 30 days.
- New address gives the board a fresh address. The old one keeps working for 7 days.
- When a task has more than one requester, you can send a reply to just one of them. Each requester's status page shows only what was sent to them.
- If a task moves to another board, its emails, approvals and service level go with it, and only people on the new board can read them.
- When someone asks to be forgotten, an admin types their address under Erase a requester (the Status page tab). Their address, name, messages, the original emails, the files they sent and the text of tasks made from their email are removed from the whole board. The tasks stay.
Internal notes still go in Comments. Only what you send with Send reply reaches the person who asked.
