Share your mailbox with someoneNew
Let an assistant or a colleague read and answer your mail, with an end date and a record of what they did.
You can let someone you work with into your mailbox, for example an assistant who answers mail for you. They use their own account and their own password. Yours is never shared.
- Open Settings, People and access and find Share your mailbox.
- Enter their address. It has to be a Viremail mailbox in your workspace or on your company’s domain.
- Choose what they can do, and an end date if you like.
- Enter your password to confirm. They get an invitation, and access starts once they accept.
| Choice | What they can do |
|---|---|
| Can view | Read your mail |
| Can view and reply | Read, save drafts, and reply to people already in a conversation |
| Can act for me | All of that, plus mark, star and move mail, and send new mail |
| Full access | All of that, plus move mail to Trash |
- Nothing they read is marked as read for you.
- What they send comes from your address and says it was sent by them on your behalf. A copy goes to your Sent folder.
- Nobody but you can delete mail for good. Full access moves it to Trash.
- They never see your settings, filters, signatures, notes, pinned mail or snoozed mail.
See what they did, change it, or stop it
Under Shared by me, choose Activity to see what they opened, moved and sent, and when. Pick another choice from the menu to change what they can do, or choose Remove to end it at once. Their access also ends by itself on its end date, when either of you leaves the workspace, or when either account is deleted.
If the person works for you, tell them that what they do in your mailbox is recorded and that you can see it.
A workspace admin can let members share their mailbox with people outside the workspace. It is off unless they turn it on.
